Position: OFFICE MANAGER & FINANCE ADMINISTRATOR
REPORTING TO: REGIONAL MANAGER
CONTEXT AND PURPOSE OF THE JOB
RioMed is a leading clinical software company based in the UK. Our core business function is developing and delivering clinical applications. We provide customised solutions to meet the specific requirements of healthcare professionals. Our mission is to improve healthcare at the point of delivery through patient participation and real time data capture. RioMed has been delivering clinical solutions nationally and internationally since 1997, in a variety of communicable and non-communicable disease areas including, HIV, sexually transmitted disease, Osteoporosis, Elderly Care, Rheumatology, Cardiology and Diabetes.
The overall purpose of the job is to facilitate the daily running of the RioMed Office. The role will entail general office and finance responsibilities. We are looking for office manager & finance admin having good IT skills including Microsoft Word, Excel, Outlook and Teams. The ideal candidate will also have sound communication skills, excellent organizational skills as well as experience in office administration. Flexible working hours available.
Main Responsibilities
OFFICE MANAGER FUNCTIONS
- General office cleanliness.
- Replenishing of kitchen, office and bathroom supplies.
- Preparing, organising, and storing information in paper and digital form.
- Dealing with queries on the phone and by email.
- Arranging for office repairs and servicing of equipment (air conditioning, fire extinguisher etc.)
- Arranging travel and accommodation for staff.
- Arranging post and deliveries.
- Typing up letters and reports.
- Liaising with suppliers and contractors.
- Greeting visitors at reception.
- Liaising with staff in other departments, e.g. Finance, HR.
FINANCE FUNCTIONS
- Liaise with Finance Manager.
- Create and update spreadsheets of daily transactions.
- Payments of office bills and to suppliers.
- Manage company petty cash account.
- Manage accounts receivable and payable.
- Review and process reimbursements.
- Keep records of invoices and tax payments.
- Manage company’s liabilities (e.g. insurance premium)
- Identify and address account discrepancies.
- Participate in payroll processes.

Essential
- Degree, certifications OR equivalent experience in Business Management, Business Administration, or related discipline.
- A minimum of five (5) years experience in office administration or similar environment.
- Proficiency in the use of Microsoft Office Suite
- Excellent verbal, written and interpersonal skills.
Line of Reporting
- Reporting to the Regional Manager
